DCTrails Luggage Policy: Know Before You Go

At DCTrails, our luggage policy exists for one reason: to keep every passenger safe and comfortable from boarding to arrival. Whether you are joining a DC to NYC line run or booking a private charter for your group, this page walks you through our baggage guidelines so you can pack with confidence.

Before departure day, review the sections below so you know what comes on the bus, what goes underneath it, and what stays home.

Standard Luggage Allowance

Every charter passenger travels with a generous baseline allowance: two pieces of full-size luggage, included with your trip.

What Is Included

  • Two full-size bags per passenger, stored in the under-bus baggage compartment
  • One personal item that stays with you in the cabin
  • Bags should fall within standard size and weight limits for full-size luggage

Plan Around Your Bus Size

Storage capacity varies by motorcoach. A full coach filling two bags per seat looks very different from a half-filled shuttle, so pack only what you need.

Carry-On Bag Guidelines

Your personal item is anything you can keep at your seat for the entire ride, such as a backpack, laptop bag, purse, or a small duffel. One item per passenger.

Where Your Personal Item Goes

There is no overhead compartment on a motorcoach the way there is on a plane. Your personal item should fit at your feet, on your lap, or in the seat beside you if space allows. Please keep aisles clear; belongings should never block the walkway or emergency exits.

Keep These Items With You

  • Travel documents and booking confirmation
  • Electronics and chargers
  • Wallets, cash, and identification
  • Prescription medications
  • Anything fragile or valuable

Checked Luggage & Under-Bus Storage

Larger luggage travels in the baggage compartment beneath the coach, loaded and unloaded by our team at each stop.

Before You Hand Over Your Bags

Do a quick check. Zippers closed. Handles secure. Nothing rattling. Then label everything, and we mean everywhere. Tag the outside with your full name, phone number, and email address, and tuck a card with the same details inside the bag. Exterior tags get ripped off; interior labels survive.

What Kind of Bag Works Best

Suitcases, backpacks, duffel bags, and trunks all travel well. Securely tied cardboard boxes are fine. Plastic and paper bags tear in the compartment, and nothing should stick out of your baggage.

At Arrival

Passengers are responsible for collecting their own luggage. For fragile items, be sure to add extra padding or make arrangements with our team prior to your trip. Once bags go under the bus, they are out of sight until the next stop.

Special & Oversized Items

Most items ride along happily, but they must be coordinated with a DCTrails representative in advance. Availability depends on compartment space for your specific trip, and answers vary with size and vehicle type.

Sports Equipment & Golf Clubs

Skis, bicycles, team gear, and golf clubs are welcome with prior approval. Pack them in secure, protective bags or hard cases.

Musical Instruments

Instruments travel best in hard-shell cases. Share dimensions at booking so we can confirm the fit.

Foldable Strollers & Family Gear

Foldable strollers and similar family items usually fit without issue. Mention them at booking so loading goes quickly.

Medical Equipment & Mobility Devices

Handicap-accessible and special-use equipment always gets priority coordination. Simply tell our representative what must come along and why, and we will make room.

Large Suitcases

Oversized luggage may require approval depending on the vehicle. When in doubt, ask before departure day.

Restricted & Prohibited Items

Safety drives everything at DCTrails, which holds the highest safety ratings from both the Department of Transportation (DOT) and the Department of Defense (DOD). Certain items never come aboard in any compartment.

Items Not Permitted

  • Flammable materials or liquids
  • Explosives and hazardous chemicals
  • Firearms
  • Illegal substances
  • Scooters and mopeds, because gas tanks and lithium batteries can ignite or explode in transit

Items to Keep With You

  • Cash and jewelry
  • Mobile phones and laptops
  • Important documents
  • Prescription medications

None of these should ever go into stored luggage. If you are unsure about them, ask our team before you pack them.

Packing Tips Before Your Trip

A five-minute check now prevents most luggage problems later:

  • Label every suitcase with your name, phone, and email
  • Use durable luggage that can handle being stacked
  • Keep valuables and medications in your personal item
  • Wrap fragile items in clothing or padding
  • Lock checked luggage if you like
  • Avoid overpacking; two full-size bags is the limit
  • Keep your booking confirmation handy, digital or printed
  • Arrive early so loading goes smoothly

Lost or Delayed Luggage

If a bag goes missing, report it immediately to your driver or our 24/7 dispatch team. The sooner we know, the better the odds of recovery.

What to Report

  • Trip date
  • Route or destination
  • Boarding location
  • A description of the luggage: color, size, brand, tags

Timely reporting matters. Coaches move on tight schedules, and a bag left at a stop can be recovered quickly when we know exactly where and when it parted ways with its owner.

Traveling on DCTrails Routes

Luggage guidelines may vary depending on the type of DCTrails service and the vehicle used for your trip. Hop on one of our daily DC to NYC line runs, operated by BestBus with convenient pickups at Dupont Circle, Union Station, Vienna, Manassas, and Springfield.

Book a private charter that carries your group anywhere in the continental US and Canada. Or ride with one of the schools, universities, and sports teams that trust us with their travel year after year.

Boarding Best Practices

  • Arrive at your pickup point with bags packed and tagged
  • Have your confirmation ready when boarding
  • Load efficiently: larger bags first, personal items in hand
  • Plan extra time during holidays and busy weekends

With 66 state-of-the-art motorcoaches and 1,000,000+ passengers carried every year, our teams run a tight, practiced operation. A little preparation on your end keeps it that way.
